ESSENTIAL JOB DUTIES AND RESPONSIBILITIES*

  • Answer multi-line switchboard and direct calls to correct extension/person.
  • Take messages from callers for executive offices as needed.
  • Greet visitors and contact office personnel when scheduled appointments arrive.
  • Receive and sign for deliveries; ensure they are delivered to the appropriate recipient.
  • Handout and receive employment applications for office/distribution center positions; ensure returned applications are delivered to the appropriate Human Resources office/personnel.
  • Ensure all visitors sign-in and receive a visitor’s badge.
  • Update company phone lists on a regular basis using Excel.
  • Update Receptionist manual regularly.
  • Train backup/relief receptionist on duties of position.
  • Fill in as LP Agent when needed at various locations throughout building.

BASIC AND PREFERRED QUALIFICATIONS (EDUCATION and/or EXPERIENCE)

  • High School Diploma or GED required
  • At least 1 year of administrative or receptionist experience required; previous experience operating a multi-line switchboard preferred
  • Must be able to sit for up to 8 hours daily

MINIMUM QUALIFICATIONS, JOB SKILLS, ABILITIES

  • Proficient ability to communicate effectively with others using spoken and written English including the ability to speak clearly and professionally
  • Working knowledge of Windows-based business computers and Microsoft Office programs; specifically, Excel, Outlook, and Word
  • Proficient ability to operate a multi-line switchboard
  • Ability to listen, comprehend and respond to callers/visitors questions in person and on phone
  • Possess accurate typing and data entry skills
  • Ability to use basic office equipment and machinery, including fax machine, photocopier, and 10-key pad on a computer keyboard
  • Ability to read and comprehend printed data/information, and data/information displayed on PC monitor
