SUMMARY
Working under direct supervision, the ROC & DC Cost Control Specialist assists with the processing operating expenses for all Distribution Center personnel; ensuring all items are properly coded and recorded. This position also assists with the processing of all incoming invoices including proper coding, approval and processing. This role interacts with a supervisor several times a week, perhaps daily, to receive guidance and feedback. Many non-routine activities will require a supervisor's advance approval.

 

 

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES*

•         Reconcile expense records and coordinate with Accounting to determine monthly expense accruals and reclasses for assigned departments.

•         Reconcile operational supply expenses and actuals.

•         Provide variance explanations to the department’s FP&A GL partner for GO expenses at the end of the fiscal month.

•         Prepare reports comparing actuals to budget and forecast for assigned departments.

•         Identify and investigate GO expenses that are not within budget or forecast.

•         Keep the DC leadership team informed of direct expenses (supplies and labor, as well as other GO accounts) for each specific work group through sophisticated data tracking methods.

•         Approve coding for non-inventory and freight requisitions in ReQlogic, as needed.

•         Create and receive purchase orders in ReQlogic as well as purchase order returns in COUPA as needed.

•         Review unmatched shipment receipts and open POs to determine appropriate steps to complete the transactions, as needed.

•         Assist Procurement and Accounts Payable with invoicing issues.

•         Assist Procurement with invoicing information as needed.

•         Assist management with capital expense request forms and Concur expense reports.

•         Track and log DC assets.

•         Post inventory adjustments in COUPA as needed.

•         Deliver departmental checks to GL partner and provide coding.

•         Receive, direct, and respond to communications throughout various levels in the organization; interact with internal customers, vendors, Corporate and Field Executives and Associates with a sense of urgency and professionalism.

•         Ensure action items requests and information is relayed to appropriate parties in absence of the Vice President. Determine based upon predetermined general guidelines whether, when, and in what manner the VP should be notified of important or emergency matters.

•         Provide general administrative support including, but not limited to, correspondence typing, office mailings, photocopying, faxing, filing, picking up mail, preparing outgoing mail and packages.

•         Follow all known safety procedures and utilize good operational, loss prevention and safety judgment at all times.

BASIC AND PREFERRED QUALIFICATIONS (EDUCATION and/or EXPERIENCE)

•         High school diploma or equivalent GED required — accredited Bachelor’s degree in Accounting preferred

•         At least 2 years of relevant work experience in accounting preferred

•         Working knowledge of ReQlogic or similar web based Invoicing system preferred

MINIMUM QUALIFICATIONS, JOB SKILLS, ABILITIES

•         Communicate effectively with management and co-workers using written and spoken English — bilingual English/Spanish communication skills preferred

•         Proficient knowledge of business computer systems and applications — specifically, Microsoft Outlook, Microsoft Word, Microsoft PowerPoint, Microsoft Excel, Microsoft Access, WM, and Kronos

•         Demonstrated capacity for gathering and scrutinizing data to identify issues, opportunities, patterns, and sustainable business solutions

•         Proficient ability to read/comprehend complex displayed and/or printed statistical data/information and reports

•         Proficient ability to perform basic math functions accurately (add, subtract, multiply and divide)
