SUMMARY

Working with general supervision, the Senior Meeting & Space Planner is responsible for all small company meetings & incentive events, leading ancillary elements of the U.S. & CDN Conferences, manages participation at Comic Con events, website updates and plans our monthly associate activities at the SSC. The associate will oversee the SSC space planning efforts to include maintaining workspace and the acquisition and deployment of office equipment, and plan associate/department moves.  This role interacts with a supervisor several times a week, perhaps daily, to receive guidance and feedback. Some non-routine activities may require a supervisor’s advance approval.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES*

Meeting Planning

  • Plan and manage all aspects of small meetings & incentive programs including budget forecasting as needed per meeting; air and hotel contract negotiations; staging; RFPs; logistics; AV; food and beverage; and reconciliation
  • Will work with team leadership to create a plan to participate in 1-3 Comic Cons across the US. Duties will include negotiating; exhibit/booth design; budget development and management; logistics; food and beverage; staffing; communication with staffing and exhibit teams; developing and selling sponsorship opportunities; advertising opportunities; and on-site execution
  • Support field efforts at their regional cons including communication; create signage and fliers for use at con; send branded table covers, pop-ups, and other décor to highlight the booth; send bags & swag to increase consumer engagement; create and manage program budget  
  • Works with director to plan various conference elements including dinners; events; engagement activities, ancillary meetings; off-site venue negotiations; etc.
  • Works with manager to assist with various US & CDN Expo elements including pop-up booths, vendor communications, tracking, etc.
  • Co-manages the development and content of the GameStop meetings & travel website
  • Works with director to plan and mange the fall SSC Meeting including budgeting, contracting, planning and managing the event.
  • Plan and manage the SSC employee monthly activities to include budgeting, contracting, planning and managing each event

Space Planning

  • Plan and organize office moves that may include setting up new offices, coordinating furniture needs, working with the space planning committee on any floor plan changes, etc.; partner with space planning committee to manage cube configurations as needed for office moves and additions
  • Coordinate miscellaneous projects as needed, including order white boards, furniture, maintain furniture inventory and available spaces, coordinating painting needs with DC-shop, etc.
  • Maintain office, cubicle, and file cabinet keys for and order replacement keys as necessary

BASIC AND PREFERRED QUALIFICATIONS (EDUCATION and/or EXPERIENCE)

  • Accredited Bachelor’s degree is preferred; at least three years of additional related experience may be considered in substitution
  • Minimum of three years meeting/exhibit planning experience
  • Certified Meeting Professional (CMP) designation preferred

  • Travel required quarterly or as needed
